LaxRecruit Privacy Policy

LaxRecruit LLC ("LaxRecruit," "we," "us," or "our") provides a college recruiting and team-management platform for student-athletes, parents and guardians, high-school and club coaches, recruiting advisors, organization administrators, and college coaches.
This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices available to users.

1. Who Uses LaxRecruit
LaxRecruit is primarily designed for high-school and club athletes pursuing college athletic opportunities, along with the adults who support them.
Many LaxRecruit athletes are between 13 and 17 years old. LaxRecruit is not intended for children under 13.
Athletes under 18 should use LaxRecruit only with the involvement and consent of a parent or legal guardian.
2. Information We Collect
Athlete Information
Depending on the features an athlete uses, LaxRecruit may collect:
- name, preferred name, email address, telephone number, date of birth, graduation year, city, state, ZIP code, and profile photograph;
- high school, club team, graduation year, jersey number, positions, handedness, height, weight, athletic testing information, and playing history;
- GPA, class information, test scores, academic coursework, intended majors, and other academic information entered by the athlete, parent, or authorized user;
- NCAA, USA Lacrosse, recruiting-service, Hudl, Instagram, X, and similar account or profile identifiers;
- game film, highlight videos, photographs, accolades, and media links;
- college preferences, target schools, recruiting pipeline information, coach interactions, commitments, and recruiting activity;
- schedules, events, RSVPs, and tryout information;
- athlete self-assessments;
- messages, posts, comments, reactions, and team communications;
- questions, transcripts, feedback, plans, and other information generated through LaxRecruit's artificial-intelligence features; and
- parental or guardian consent records.
Athletic and academic information is generally supplied by athletes, parents, coaches, or organization personnel. LaxRecruit does not independently verify that information unless expressly stated.
Coach and Organization Information
We may collect names, contact information, team and organization affiliations, roles, roster information, evaluations, ratings, film notes, internal notes, and other information submitted by authorized coaches or organization administrators.
Coach evaluations, ratings, private notes, and internal recruiting information are not displayed on an athlete's public recruiting profile.
College Coach Information
LaxRecruit maintains professional contact information regarding college coaching staffs, which may include names, titles, institutions, professional email addresses, and professional telephone numbers.
We may also record recruiting communications sent through LaxRecruit, including whether a recruiting email was delivered, opened, or clicked.
Account and Device Information
For users generally, we may collect:
- name and email address;
- password credentials stored in hashed form;
- role and organization membership;
- login and account activity;
- notification settings;
- IP address and browser information;
- security and audit information;
- browser push-notification identifiers; and
- technical information necessary to prevent abuse and operate the Service.
We may derive approximate location information from a ZIP code for functions such as calculating distance from colleges.
3. How We Use Information
We use information to:
- create and administer accounts;
- provide recruiting profiles;
- operate team and organization management features;
- provide schedules, messaging, tryouts, film, and other team functions;
- identify and compare potential colleges;
- calculate college-fit information;
- provide recruiting-readiness information and recruiting timelines;
- help athletes organize and execute their recruiting process;
- provide AI-powered recruiting guidance;
- analyze film when requested;
- provide mock recruiting-call practice and feedback;
- coach athletes on communications they create;
- send recruiting emails initiated by athletes;
- provide notifications requested or enabled by users;
- maintain security and prevent misuse;
- audit access to information involving minors;
- provide customer support;
- process subscriptions and administer accounts; and
- comply with legal obligations.
LaxRecruit does not currently operate an advertising network or use athlete information for targeted advertising.
LaxRecruit does not sell personal information to data brokers.
4. Public Recruiting Profiles
Athletes may choose to create a recruiting profile that can be viewed outside their team or organization.
For athletes under 18, public sharing requires parental or guardian consent.
A public recruiting profile may include information selected for recruiting purposes, such as:
- athlete name and photograph;
- graduation year;
- city and state;
- high school and club;
- positions and athletic information;
- GPA and other academic information;
- intended college majors;
- recruiting-service and social links;
- film and highlight videos;
- accolades;
- events; and
- commitment information.
LaxRecruit does not make coach evaluations, private coach notes, internal ratings, fit scores, private messages, or similar internal information public or available to college coaches.
Athletes and their parents or guardians may make a recruiting profile private at any time.
For minor athletes, LaxRecruit may limit certain information from appearing on public profiles even when an athlete or parent has provided that information elsewhere in the Service.
For athletes under 18, and for any athlete whose date of birth has not been provided, city and weight are not shown on public recruiting profiles. Social media handles and coach contact details appear only if the athlete chooses to display them.
5. Parents and Guardians
LaxRecruit provides parents and legal guardians with tools to participate in and supervise an athlete's use of the Service.
A parent or guardian may be linked to an athlete and may have access to information associated with that athlete.
Parents and guardians may request correction or deletion of their child's information and may revoke permissions available through the Service.
When parental consent is required, LaxRecruit may maintain records showing when and how consent was provided.
6. Artificial Intelligence Features
LaxRecruit includes artificial-intelligence features that may process athlete information.
For example:
- recruiting-coach conversations, development plans, Email Coach, Voice Check, and mock-call features may send relevant athlete information and user prompts to Anthropic, including the athlete's spoken responses during mock calls after they have been converted to text;
- film-analysis features may send athlete video and related instructions to Google's Gemini services;
- ElevenLabs may process text used to create the simulated recruiting coach's voice during mock calls.
During mock calls, the athlete's speech is converted to text by the athlete's own web browser using its built-in speech recognition, which may be provided by the browser's maker. LaxRecruit does not record or store audio from mock calls.
Information supplied to an AI provider may include information from the athlete's profile, recruiting activity, academic information, athletic information, messages, film, or other information needed to provide the feature the user requested.
LaxRecruit uses third-party AI providers to process information necessary to provide these features. AI output is generated automatically and is not reviewed by a person before being shown to the user.
AI-generated recruiting guidance, scores, recommendations, summaries, and feedback may be incomplete or inaccurate and should not be treated as guarantees or professional advice.
LaxRecruit's film-analysis feature provides directional feedback. It does not affect an athlete's division rating and does not determine whether an athlete belongs at a particular collegiate division or competitive level.
LaxRecruit does not use Email Coach to write recruiting emails on an athlete's behalf. It provides feedback on communications created by the athlete.
7. Service Providers
We use service providers to operate LaxRecruit. Depending on how the Service is used, information may be processed by providers including:
- Vercel, for hosting, application infrastructure, file storage, scheduled services, and analytics;
- Supabase, for database services;
- Anthropic, for certain AI features;
- Google, including Gemini and Google authentication and email services;
- ElevenLabs, for AI-generated voice;
- Resend, for recruiting-email delivery;
- Twilio, for text-message delivery;
- Sentry, for application error monitoring;
- YouTube, when film hosted on YouTube is embedded on an athlete's public recruiting profile;
- Stripe, for payment processing; and
- Apple, Google, Mozilla, and other browser or operating-system providers used to deliver browser notifications or to convert speech to text during mock calls.
These providers receive information only as needed for the services they provide to LaxRecruit, subject to their applicable agreements and terms.
Stripe processes payment-card information through its own checkout systems. LaxRecruit does not store full payment-card numbers.
8. Organizations, Coaches, Advisors, and College Coaches
Information may also be visible within LaxRecruit to authorized people based on their roles.
For example:
- organization coaches and administrators may access athletes within their organization;
- linked parents and guardians may access their athlete;
- outside recruiting advisors may receive access after appropriate guardian approval and may be limited by athlete-specific permissions; and
- college coaches may access recruiting information made available for college recruiting purposes.
Access rights vary by role and feature.
9. Recruiting Email Tracking and Profile Views
When an athlete chooses to send a recruiting email through LaxRecruit, the Service may use technology that records whether an email was opened and whether a recipient clicked a link to the athlete's recruiting profile.
This information is provided to the athlete to help the athlete understand engagement with recruiting outreach.
Recruiting emails show the athlete's name and are sent through LaxRecruit. When a recipient replies, the reply goes directly to the athlete's own email address, which the recipient will then see.
When a college coach views an athlete's recruiting profile while signed in to LaxRecruit, or by following a link in a recruiting email, LaxRecruit records the view. The athlete, and the athlete's parents or guardians, advisors, and club staff, may see the name of the school associated with the coach's account or with that email, but not the coach's name.
10. Cookies, Browser Storage, and Analytics
LaxRecruit uses technologies necessary to operate the Service, including:
- authentication and security cookies;
- browser storage for user settings and application functionality;
- service-worker technology for offline functionality and notifications; and
- Vercel Web Analytics for website and application analytics.
LaxRecruit does not currently use advertising cookies or third-party advertising networks.
11. Communications
LaxRecruit may send:
- account invitations;
- password resets;
- account and security messages;
- event reminders;
- message and team-post notifications;
- recruiting emails initiated by athletes;
- text-message notifications; and
- browser push notifications.
Users may control certain notification preferences through the Service or through their device or browser settings.
Marketing communications, if introduced in the future, will be subject to applicable consent and opt-out requirements.
12. Data Retention
We generally retain account and profile information while an account remains active.
Certain security and access logs involving minors' information are maintained for a limited period.
When an account is permanently deleted, LaxRecruit removes the account and associated personal information and files from active systems, subject to limited records necessary to document the deletion, comply with law, prevent fraud, resolve disputes, enforce agreements, and maintain security.
Uploaded files are deleted when the account is deleted. If a file deletion does not complete, we retry it.
Deleted information may remain temporarily in encrypted backup or disaster-recovery systems until those backups are overwritten through normal backup-rotation processes.
13. Account Deletion and User Choices
Users may edit much of their account information through the Service.
Athletes or authorized linked guardians may permanently delete an athlete account.
Users may also:
- make a recruiting profile private;
- change profile information;
- control certain notifications;
- approve or revoke outside-advisor access where supported; and
- contact LaxRecruit regarding privacy questions or requests.
LaxRecruit does not currently provide an automated full-account data export.
14. Security
LaxRecruit uses administrative, technical, and organizational measures intended to protect user information.
Measures currently used include:
- HTTPS encryption in transit;
- provider-managed encryption at rest;
- hashed passwords;
- role-based access controls;
- organization-level data separation;
- guardian-controlled access for outside advisors; and
- audit logging for certain access involving minors' information.
Photos, film, and documents are stored with our hosting provider and delivered through unguessable web addresses rather than behind a login. Anyone who has a file's address can view it, so users should not share those addresses.
No method of electronic storage or transmission is completely secure, and LaxRecruit cannot guarantee absolute security.
15. Children Under 13
LaxRecruit is not intended for children under 13.
Users under 13 may not create or use an athlete account.
If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete it.
A parent or guardian who believes a child under 13 has provided information to LaxRecruit should contact privacy@laxrecruit.co.
16. Users Under 18
Because many LaxRecruit users are minors, we design the Service with youth privacy in mind.
Users under 18 should involve a parent or legal guardian in their use of LaxRecruit.
Certain features, including public recruiting profiles, recruiting outreach, advisor access, or other sharing functions, may require parent or guardian approval.
17. Schools and Educational Organizations
Schools, school teams, clubs, and other organizations may use LaxRecruit.
Where an organization provides information to LaxRecruit regarding an athlete, the organization is responsible for having authority to provide that information.
Where LaxRecruit receives information subject to a separate written agreement with a school or organization, that agreement may provide additional restrictions governing use and disclosure.
18. Legal Disclosures
We may disclose information when reasonably necessary to:
- comply with applicable law, subpoena, court order, or legal process;
- protect users, LaxRecruit, or others from fraud, security threats, or physical harm;
- investigate abuse or violations of our agreements; or
- protect our legal rights.
If ownership or control of LaxRecruit changes through a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction subject to applicable law and appropriate protections.
19. Changes to This Policy
We may update this Privacy Policy as LaxRecruit changes.
If we make material changes affecting how we handle minors' information or other material user rights, we may provide additional notice or request renewed acceptance or consent where appropriate.
The effective date at the top of this Policy identifies the current version.
